Role Overview & Career Path

Our project managers are commissioning Inrange installations at driving ranges around the world, and the pipeline is growing faster than the team. We are creating a new role to take the coordination load off them, and to build our next generation of project managers while we do it.

As Junior Project Coordinator you will own the groundwork that every installation depends on: the project trackers, the outstanding information, the document packs, the project financials and the first-pass quality checks. You will work with the whole project management team rather than for one manager - the project managers are your internal clients, and they remain the point of contact for the driving range owners and contractors we work with.

You will learn the job of a project manager by doing the work it is built on, and you will see every stage of an installation from the inside. And you will be part of refining and optimising that process

Essential Criteria

  • BEng university degree. Industrial Engineering is preferred; other engineering disciplines welcome.
  • 0-2 years of experience in a technical, engineering, or project support environment. Recent graduates are encouraged to apply; final-year students may apply for a start date on completion.
  • Exceptional organisation and follow-through. You close loops rather than report that they are open.
  • Comfortable following up politely and persistently until you have an answer. Your follow-ups are with our own project managers and internal teams, including colleagues working in other time zones.
  • Meticulous attention to detail. You are the person who notices when two documents describing the same site do not agree with each other.
  • Strong written English, and the ability to turn a rambling phone call into a short, unambiguous written confirmation.
  • Self-motivated with a high degree of initiative in the workplace.
  • Practical and solution-driven approach to complex problems.
  • A valid passport, or the ability to obtain one before starting.
  • Able to work from our Technopark, Stellenbosch office.

Beneficial Experience

  • Exposure to project tracking or workflow tools, and to shared document and spreadsheet environments.
  • Vacation work, internships or student projects involving site work, construction, installation or logistics.
  • Basic understanding of hardware, networking, RF systems, low-voltage electrical work, or civil operations such as trenching, cable routing and mounting structures.
  • Comfort with structured data: spreadsheets beyond the basics, and an aptitude for picking up database-driven tools.
  • Additional languages. Our installations are global.
  • An interest in golf, or a willingness to develop one.

Responsibilities

  • Own the project trackers. Keep them current for every live installation, sweep them daily, and give each project manager a written list of what has slipped and what is at risk of slipping.
  • Run the outstanding-information register. Know exactly what information is still missing on every project and who owes it, and keep it in front of the responsible project manager until it is closed out.
  • Turn conversations into records. Convert calls, messages and meeting discussions into draft written confirmations and tracker notes within one working day, for the project manager to review and send.
  • Handle the administration after the meetings. Take the minutes, publish an action register with owners and dates, update the tracker, and keep the resulting actions visible until they are done.
  • Assemble document packs from our master templates for the project manager’s technical review. Once approved, distribute them and confirm in writing that the recipients have received and understood them.
  • Run first-pass quality checks. Work the checklist against every deliverable before it reaches the project manager, and hand over a written list of what you found rather than a clean sheet you have not personally verified.
  • Prepare the project financials for review. Capture actuals, hours, expenses and invoices accurately and clear the obvious errors, so that what is left for the project manager to find is the nuanced problem and not a typing mistake.
  • Keep the project record complete. Sweep for missing photographs, checklists and documents while the work is live, so that nothing is outstanding when the project manager closes the project out.
  • Keep the workspace clean. Folder structure, naming conventions and access permissions, so nobody loses ten minutes looking for a file.
  • Shadow installations to learn how a site actually comes together, and work as an integral part of the Installation and Project Management team.
  • Proactively participate and streamlining and optimising our processes, using technology as well as critical thinking.

Non-technical skills

  • Relentless persistence. You are comfortable being the person who asks a third time, and you do it without causing friction.
  • Conscientious, meticulous and highly organised, and calm in front of a long queue.
  • Able to support several project managers at once while keeping your own priorities straight.
  • Good verbal and written communication skills in English.
  • Honest about what you do not know. Quick to ask and eager to learn.
  • Able to collaborate within a multi-disciplinary team and work independently when required.
  • Willingness to travel internationally on occasion and assist installation teams across different time zones.
